Guidelines for Poster Presenters

Thank you for presenting your work at PAA 2022! Since the conference will be held in hybrid format, we need to ensure that posters are viewable by both in-person and virtual participants. Therefore, all poster presenters (regardless of whether you are participating virtually or in-person) are required to upload their posters to Confex, PAA’s virtual platform. Posters must be uploaded by noon on Friday, April 1, 2022 to be eligible for a poster award. In-person poster presenters will also present their printed poster on-site.

Both virtual and on-site participants should plan to be present during their poster session so that they can engage with visitors either on the virtual platform or in person. Poster awards will be presented to authors during their appointed poster session times.

Plan Your Presentation

A good poster presentation provides a clear and succinct overview of your research. The following are a few tips in planning your poster:

  1. In-person poster board size. Boards are 4' high and 8' wide, PAA doesn't have a poster size requirement.
  2. Posters will be uploaded to the Confex online platform. Click here for Confex upload instructions. (The link to the poster upload platform will be posted here and emailed to each poster presenter when the platform is ready for uploads.) All uploads— including PowerPoint slides— must be saved as a one-page, single PDF.  A tool in the Confex poster program will allow you to choose sections of the PDF to separate to create slides. Viewers will find it easier to advance slides to view the poster on a small screen. You will also be able to upload an mp4 video recording.
  3. Technical Support. There will be links on the Confex platform to submit tech support tickets on the poster upload page. You can also send an email to paa@confex.com that goes directly to the tech support team, or you can call the main office line at 401-334-0220. Phones are answered 9am-6pm EST, Mon-Fri. Emails/tickets are answered generally within 6-8 hours.
  4. Please do not include large tables in your poster. Please summarize your key results rather than presenting large, dense tables.
  5. Try to avoid the use of acronyms, jargon, and abbreviations. Past conference evaluations have clearly indicated that one frustration, in particular for new and international attendees, is the use of ‘insider’ language, acronyms, and abbreviations that make it difficult to comprehend a presentation.
  6. Consider livening up your slides/poster with graphics and pictures. Graphics can be very effective in capturing the audience’s attention and focusing them on the point you want to make.
  7. Please proof read and spell check. Thank you!

Uploading Files

All posters and related video/audio files should be uploaded by Friday, April 1, Poster judges will also be visiting posters over the weekend before the conference, so you will need to upload your poster by April 1 in order to be eligible for a poster award.

Presentation Checklist

For your assigned poster session day/time, please:

  1. Arrive early. Please arrive at the session 5-10 minutes early so you will be ready to engage with visitors to your poster.
  2. Engage with the poster discussants. Each poster session will have a gallery in the Confex platform. During your 1.5-hour session, Poster Discussants will be visiting your poster onsite, or may leave questions and comments online.
  3. Poster sessions will conclude at the end of your scheduled time. We ask that you please leave your posters online, so that additional viewers can see it and leave questions/comments for you after the session time.
